You can design and implement an Automated Process to help you accomplish any task that you want done automatically. The following is an example of how GoldMine can be used in Sales Force Automation. This passage was found on a GoldMine website I stumbled across last year. I've since not been able to find it again and thus don't know who to give credit to for this excellent example. "Before using GoldMine, I would sign up to exhibit at trade
shows. I always wanted to do my
best to take advantage of any leads I got at these shows. After two or three
days of standing in our booth, I would end up back in my office with a stack of
business cards. But, after being out of the office for a few days, I would
always return to at least a handful of crises that demanded my immediate
attention. Before I know it my stack of hot leads had found their way into my
top-left desk drawer, never again to be touched by human hands. I think I did
this for three straight trade shows, and I just couldn’t understand why our
trade show results were so poor! Now,
my company has turned over a new leaf. We have implemented a Trade Show
Automated Process that never fails us. At the end of the first day of each trade
show, as the workers are turning off the lights and all the other vendors are
preparing to head for the bar, we grab our notebook computer and head for my
hotel room. You see, all daylong we have been collecting those leads
and putting them directly into GoldMine. We plug the notebook into the phone
line in the hotel room and then head for the bar ourselves.
Step One of our Automated Trade Show Process has begun. The
computer begins e-mailing and faxing to each and every lead we got that day. We
send a letter that basically says, “Thanks for stopping by out trade-show
booth today. We were just overwhelmed by all the interest and activity today,
but nonetheless, your account would be very important to us. When we get back to
our office on Monday, we will send out the literature you have requested. If you
can’t wait until then, call Jane at our office...”
This process is repeated after each day of the trade show. When we do
finally get back to the office, Step Two automatically begins. Through the
literature fulfillment section of GoldMine, a notice is sent directing the
appropriate person to mail out everything that was requested. GoldMine assigns
an account manager to the account based on zip codes and also generates another
cover letter. After all these process are done, GoldMine schedules the
account manager (assigned in Step Two) to make a follow-up call in one week. Of
course, the process checks to see whether the prospect has called us already,
which prevents us from appearing to be out of control.
The response to this Automated Process has been nothing
short of amazing. Literally 35 percent of all the people we contact each night
of each trade show call us the next day, just amazed that we responded so
quickly. While our competitors celebrate down in the bar, we do our follow-up
marketing to make sure they have as little to celebrate later as possible. And
